This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit atlasvisibility.com (the "Site") or use any related software, tools, dashboards, reports, APIs, or services (collectively, the "Services").
By accessing or using the Site or Services, and by agreeing to this Privacy Policy when signing up as a client, you agree that your information may be processed as described in this Privacy Policy.

It also authorizes Atlas's use of providers and acknowledges the current Subprocessors and Service Providers page and updates made as described in the Terms and Data Processing Addendum. No separate signature is required for those incorporated terms.

1. Information We Collect
We may collect the following categories of information.
Contact and Business Information
Information you voluntarily provide, including:
- Name
- Company or firm name
- Email address
- Phone number
- Mailing address
- Business type or industry
- Geographic location or market served
- Other information submitted through forms, onboarding processes, or communications
We collect personal information such as your name and phone number when you book an appointment. This information is used solely to send SMS appointment reminders and related scheduling communications. Atlas Visibility does not send promotional or marketing text messages and does not sell, rent, or share your phone number with third parties for marketing purposes.
Message frequency varies. Message and data rates may apply. You can reply STOP to opt out at any time or HELP for assistance.
When you submit a lead, contact, or payment-status form, Atlas forwards only the fields needed to respond to the request or process the related workflow. The Site is designed to drop unexpected fields, bot-trap fields, and file values before forwarding form information to workflow systems.
Account and Usage Data
If you use our Services, we may collect:
- Account credentials and authentication information
- Subscription details and billing records
- Communications with Atlas Visibility
- Product usage data, activity logs, and feature interaction data
Client Materials and Submitted Content
Users may provide materials for analysis, evaluation, or content creation, including:
- branding assets
- business positioning or perspective
- website information
- marketing materials
- other content used to generate reports or articles
Automatically Collected Information
When you access the Site or Services, certain information may be automatically collected, including:
- IP address
- browser type and version
- device information
- referring URLs
- pages visited and interaction behavior
- session duration and usage patterns
Necessary Site Technologies
Atlas uses necessary first-party technologies and workflow events to provide security, forms, requested content, payments, guide and report access, source attribution, lead routing, and core Site functions. These technologies may operate regardless of your choice about optional analytics and advertising tools.
Optional Analytics and Advertising Technologies
With your permission, Atlas uses optional analytics and advertising technologies to understand visits, measure campaign effectiveness, and build or measure advertising audiences. The currently configured optional providers are Google Analytics, Meta Pixel, LinkedIn Insight Tag, and OpenAI Ads Pixel. The Site does not use heatmap or session replay tags.
Depending on the provider and event, these technologies may receive a clean page path, a clean referring address, approximate location derived from an IP address, device and browser information, advertising identifiers, and approved event data. Atlas suppresses advertising tags when the current page or a same-site referring page contains query parameters. Where optional analytics runs, Atlas configures it to receive a page location and referrer without query parameters. These controls do not change the address in your browser or interfere with Site features that use query parameters.
Atlas does not configure optional advertising events to send payment-card data, login credentials, form contents, the contents of private client portals, or query-parameter values. You should still avoid placing sensitive or regulated information in any page URL.
Optional analytics and advertising technologies are off by default for a new visitor. Selecting "Accept All" allows them to load. Selecting "Reject All" keeps them off. Atlas stores the choice, consent version, and selection time in your browser's local storage. Global Privacy Control or an enabled Do Not Track signal overrides a stored acceptance and suppresses Google Analytics and the configured advertising tags.
You may change or withdraw a stored choice at any time through the "Cookie Choices" link in the Site footer. You may also clear the Site's browser storage, enable a supported browser privacy signal, or contact team@atlasvisibility.com. Withdrawal applies prospectively and does not require Atlas or a provider to delete lawfully collected information unless applicable law requires it.
Atlas additionally disables advertising tags on designated payment, authentication or account, private or personalized-report, and form or sensitive-data routes, and on pages presenting the query-string risk described above. Optional analytics may still run with permission using a clean page location where advertising tags are disabled.
AI Processing Inputs
Certain Services may involve the processing of user-provided information through automated systems, machine learning models, or artificial intelligence tools to generate insights, reports, analyses, or content.
Users should not submit sensitive or regulated personal information through these systems.
2. Information We Do Not Intentionally Collect
Our Services are not designed to collect sensitive personal information or regulated data.
Users should not submit:
- Protected Health Information (PHI) under HIPAA
- financial account numbers or payment card details
- Social Security numbers or government identification numbers
- medical records or health information
- other sensitive personal data subject to specialized regulatory frameworks
If such information is submitted, it is done at the user's own risk and responsibility.
3. How We Use Your Information
We may use collected information for the following purposes:
Providing Services
To operate, maintain, and deliver the Services, including:
- generating digital visibility evaluations
- producing analytical reports and insights
- creating content or publications where applicable
Communication
To communicate with users regarding:
- service updates
- quotes and proposals
- account or billing issues
- customer support
Billing and Account Administration
To manage subscriptions, invoices, payments, and account records.
Service Improvement and Product Development
To analyze usage patterns and improve the functionality, performance, and reliability of the Services.
This may include using aggregated or anonymized data to improve analytics models, scoring systems, or platform capabilities.
Marketing Attribution and Workflow Automation
To understand source attribution, route leads, trigger appropriate follow-up, and operate internal marketing and service workflows.
Legal Compliance
To comply with legal obligations, regulatory requirements, or lawful government requests.
4. AI-Assisted Services and Automated Processing
Atlas may use artificial-intelligence and machine-learning service providers to research, analyze, summarize, transcribe, translate, generate, transform, review, moderate, or format content and information in connection with the Services. Atlas currently uses OpenAI's API in production content workflows and may add or replace vetted providers and provider categories as the Services change.
Depending on the engagement, these systems may process:
- authorized Client Materials and knowledge-base information
- business information, instructions, prompts, and drafts
- publicly available data and third-party platform signals
- limited personal information contained in authorized materials
Outputs may include reports, scores, analyses, recommendations, articles, images, structured data, or other client deliverables. Atlas seeks to transmit only information reasonably necessary for the requested task. Clients should not submit sensitive personal data, regulated data, credentials, payment-card data, protected health information, or other specially protected information for AI processing unless Atlas expressly authorizes that use in writing and appropriate safeguards have been agreed upon.
Provider Practices and Service Improvement
AI-provider retention, model-improvement practices, locations, subprocessors, and human-access controls vary by product, account configuration, and provider terms. Atlas uses business or API products and account-level controls it considers appropriate for the engagement, but does not make an absolute promise about a provider's training practices or a fixed deletion period unless Atlas expressly agrees to that promise in a signed writing.
Atlas may use service telemetry, error records, security information, and aggregated or deidentified statistics to operate, secure, evaluate, and improve the reliability and methodology of the Services. Atlas does not intentionally submit Client Materials or personal information to a provider for a purpose unrelated to the Services. The provider's actual handling remains governed by its applicable product terms and Atlas's account configuration.
Publication and Distribution
When an engagement includes publication, authorized Client Materials and client deliverables may appear on a client website, an Atlas-hosted website, a third-party publication, a social or advertising platform, or another destination within the engagement. Public information may be collected, indexed, copied, or retained by search engines, AI systems, archives, platforms, and other third parties outside Atlas's control.
Synthetic Content, Voice, and Likeness
Atlas may apply disclosures, platform declarations, labels, watermarks, metadata, Content Credentials, or other provenance measures to AI-generated or synthetically generated information when required by law, platform rule, professional standard, or to avoid a misleading impression.
Atlas does not offer voice cloning or intentionally replicate an identifiable person's likeness as part of the standard Services. Atlas will not intentionally create or publish that material unless a separate signed addendum authorizes it and required rights and consents have been verified.
5. Sharing and Disclosure
We may share information in limited circumstances.
Service Providers
We may share data with trusted service providers that assist in operating the Services, including:
- hosting and cloud infrastructure providers
- generative-AI and automated-processing providers, currently including OpenAI's API
- analytics platforms
- advertising and campaign-measurement platforms
- workflow automation and lead routing providers
- payment processors
- address autocomplete and mapping providers
- content hosting, publishing, and distribution platforms
- communications and support tools
These providers process information for the applicable service purpose under their contracts, product terms, and Atlas's account configuration. Their retention, location, subprocessors, and access controls may vary by service.
When Atlas processes Client Personal Data on a client's behalf, the Data Processing Addendum applies as described in the Terms. Atlas's current Subprocessors and Service Providers page provides additional transparency.
Publications or Client Deliverables
If part of the Services involves content creation or publication (such as articles or reports), the client's name, company, or professional identity may appear publicly.
Custom AEO Agent on Client Websites
At a client's direction, Atlas may install or operate a Custom AEO Agent on a client-controlled website. The Custom AEO Agent may process website content, structured metadata, links, crawl and indexing signals, and technical status information as reasonably necessary to provide the Services. Atlas does not use the Custom AEO Agent as an advertising pixel or behavioral advertising tracker unless a separate signed agreement expressly authorizes that use and any required visitor notice and consent are implemented.
Under the standard Services, the Custom AEO Agent is the only Atlas technology installed on a client-controlled website. Any additional Atlas-installed client-site technology requires a separate written agreement.
Each client remains responsible for its own website, privacy notice, consent obligations, and technologies installed by the client or other providers.
Legal Requirements
We may disclose information if required by law, court order, subpoena, or to protect the rights, safety, or property of Atlas Visibility, our users, or others.
Business Transfers
If Atlas Visibility undergoes a merger, acquisition, restructuring, or sale of assets, information may be transferred as part of that transaction.
Atlas does not sell personal information for money. We may use disclosed advertising and analytics providers for audience building, retargeting, campaign measurement, and similar marketing purposes, with consent and browser-signal handling as described in this Policy. Some state privacy laws may define those activities as "sharing," "targeted advertising," or a "sale" even when no money changes hands.
6. Data Security
Atlas Visibility implements reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, disclosure, alteration, or destruction.
However, no system or transmission over the internet can be guaranteed to be completely secure.
Users acknowledge that they provide information at their own risk.
Atlas maintains procedures to investigate suspected security incidents. When Atlas confirms an incident requiring notice, Atlas will notify affected clients or individuals in the time and manner required by applicable law or the Data Processing Addendum. Atlas may preserve evidence, engage specialists, take protective action, and cooperate with lawful investigations.
7. Data Retention
Atlas retains personal information, Client Materials, AI-processing inputs and outputs, prompts, workflow logs, and related records for only as long as reasonably necessary to:
- provide, support, secure, and document the Services
- maintain business, tax, accounting, and transaction records
- detect abuse, investigate incidents, and protect legal rights
- comply with law and enforce agreements
The specific period varies based on the nature of the information, the engagement, operational need, legal requirements, backup cycles, and the settings and terms of the provider that processes it. Unless Atlas agrees otherwise in a signed writing, Atlas does not promise a fixed provider-retention or deletion period.
When information is no longer reasonably needed, Atlas may delete or deidentify it, subject to legal holds, backups, fraud prevention, and records Atlas must retain. Deletion from Atlas's active systems may not remove information already published or independently retained by a client, provider, platform, search engine, AI system, archive, recipient, or other third party.
The Site's optional-technology choice remains in your browser's local storage until you change it, you or your browser clears it, or Atlas changes the consent version and requests a new choice.
Retention by Category
- Lead and contact records: retained while Atlas is responding and afterward as reasonably needed for relationship, suppression, security, and legal records
- Client and billing records: retained during the relationship and for applicable tax, accounting, payment, insurance, dispute, and contract-enforcement periods
- Client Materials and workflow records: retained for service delivery, support, publication history, corrections, security, backups, legal holds, and the purposes stated in an applicable Order or DPA
- Optional analytics and advertising data: retained according to Atlas's configured provider settings, business need, consent status, and applicable law
- Security and technical records: retained as reasonably needed to detect abuse, investigate incidents, maintain reliability, and protect legal rights
Atlas reviews retention needs periodically. The criteria above are not a promise to retain every record for a minimum period. Atlas will not state a fixed provider period until the applicable account settings and contract support that statement.
8. Your Privacy Rights and Choices
Depending on your state of residence and applicable law, you may have the right to request access to, confirmation of, correction of, deletion of, or a portable copy of certain personal information. You may also have the right to opt out of targeted advertising, the sale or sharing of personal information, or certain profiling, and to appeal a denied request.
To submit a request, email team@atlasvisibility.com and describe the right you wish to exercise. Atlas may request information reasonably necessary to verify your identity and authority. An authorized agent may submit a request where permitted by law, but Atlas may require proof of authorization and may verify the request directly with you. To appeal a decision, reply to Atlas's response and state that you are requesting an appeal.
Rights vary by state and may be subject to exceptions. Atlas will respond within the period and in the manner required by applicable law. Atlas will not discriminate against you for exercising an applicable privacy right.
You may control optional analytics and advertising tools through the "Accept All" or "Reject All" choice described above. Use the "Cookie Choices" link in the Site footer to withdraw or change a stored choice through the same two-button interface. You may also clear the Site's browser storage, enable a supported Global Privacy Control or Do Not Track signal, or contact Atlas.
9. U.S.-Only Business Services and Adults
Atlas offers the Services only to businesses and authorized business representatives in the United States who are at least 18 years old. The Site and Services are not directed to anyone under 18, and Atlas does not knowingly collect personal information from anyone under 18. If you believe a person under 18 has provided personal information, contact Atlas so the information can be reviewed and, where appropriate, deleted.
The Site is operated from the United States. If someone accesses the Site from outside the United States, information may be transferred to and processed in the United States, but Atlas does not offer the Services outside the United States.
10. Changes to This Policy
Atlas may update this Privacy Policy to reflect changes in the Services, providers, practices, or law. The date above shows the most recent update. Atlas will provide any additional notice required by applicable law and may request acknowledgment when a change is material to an existing client relationship.
